Help with Official Public Records

Search

One may specify values for Grantor, Type, Role, Grantee, Type, Role, Date Filed From and To, Instrument # From and To, Book and Page and/or Document Type. Leading and Trailing spaces are removed and fields left blank are not used in the search. If more than one criteria is used, the search will find all records that fulfill ALL these parameters.

The Grantor search information is specified by entering the name in the box to the right of the Grantor: label. The format expected is shown to the right of the input box. The Image representing link to Name Directory image to the right of the input box is an icon link to a Directory of Names indexed in the system. Click this icon to view a this list of names. Clicking on a Name on that page will perform a search on that name.

The Type may be specified by clicking on the down arrow to the right of the drop-down (select list), and then clicking on the selection desired. If nothing is selected (the default) then the search will include all document types that meet the other criteria.

The Role may be specified by clicking on the down arrow to the right of the drop-down (select list), and then clicking on the selection desired. If nothing is selected (the default) then the search will include all document types that meet the other criteria.

The Grantee search information is specified by entering the name in the box to the right of the Grantee: label. The format expected is shown to the right of the input box. Clicking on a Name on that page will perform a search on that name.

The Date Filed From and To search information is specified by entering dates in the boxes after the Date Filed From: label and the To: label. Dates are in the format mm/dd/yyyy, where mm is the number of the month, dd is the day of the month, and yyyy is the year. If a range of dates is specified, then all dates between the range will be returned, including the start and end dates.

The Instrument # From and To search information is specified by entering the Instrument # From or Instrument # From and To in the boxes after the Instrument # From: label and the To: label. If a range is specified, then all numbers between the range will be included, including the start and end numbers.

The Book and Page search information is specified by entering the Book or Book and Page in the boxes after the Book: label and the Page: label.

The Document Type may be specified by clicking on the down arrow to the right of the drop-down (select list), and then clicking on the selection desired. If nothing is selected (the default) then the search will include all document types that meet the other criteria.

Results

The Search Results page displays a summary of the search results. Headings included are: Instrument Number, Book-Page, Date Filed, Document Type, Person/Company Indicator, Grantor, Person/Company Indicator, Grantee, Legal Description, Index Status and Image.

If additional index information is available for the document and it is publicly viewable, one may click on the Instrument Number data (under the heading) to see additional information for the record using the Document Detail page. If an image is available and not restricted from public viewing, one may click on the Image icon (under the heading) to see it using the Document Retrieval page.

Result rows with Restricted items are documents that have either been sealed or have been requested to be removed from public access in accordance with a statute.

Details

Document Detail provides additional information about a specific document that would otherwise not fit on the results page.

Document Images

The Document Retrieval page is used to display the document image for an individual record from the results. If the document image is available, two input fields are displayed containing the starting and ending pages of the document. One may specify a new starting or ending page to retrieve. Then, one must click on the Retrieve as PDF or Retrieve as TIFF buttons to request the image. This may take a few moments, depending upon the load on the server, how many pages are requested and in some cases the age of the document. After the server retrieves the document image, a new browser will open for viewing of the document in the format requested (if the browser has JavaScript enabled.) Or if a new browser does not open, one may also view the image in Portable Document File (PDF) format by clicking on the link View the image in PDF format or in Tagged Image File Format (TIFF) by clicking on the link View the image in TIFF format.

Special viewers are required for either format. If not installed, one may click on the Get Adobe Reader box to obtain the FREE reader for PDF files. Click on the Download.Com or ZDNET boxes to obtain a FREE reader for TIFF files. One may have to follow the instructions provided with the file obtained to properly install these viewers.
